SARA Privacy Policy



This Information Privacy Policy pertains to the Stillwater Amateur Radio Association, Inc. (SARA)


The Information Privacy Policy applies to data gathered from members or information transmitted
to members in order for SARA to provide service to its members. No data will be gathered nor
retained which is not required for SARA to provide service to its members or to 'do business'.

Public Domain Data

Data gathered from members includes data that is available in the public domain such as member
names, call signs and addresses (e.g. listed in the FCC databases).

Non Public Domain Data:

Data gathered or maintained includes that which may not be available in the public domain,
such as telephone numbers and email addresses and which are required by SARA in the normal
course of events to 'do business' (e.g. contact members by telephone or email).

Other data such as members' affiliations with related organization such as ARES, annual
payment of dues etc. is retained by SARA in order to 'do business'.

Privacy:

SARA will not make non public domain data available to any SARA member nor to any parties
other than the SARA Executive or a formally constituted SARA Committee. The SARA Executive
or any Committee will use such member data only for the purpose of doing SARA business and
will maintain the privacy of such data at all times.

Opt Out:

If a member specifically informs the Secretary that the member elects to opt out of the Non
Public Domain Data Privacy Policy, SARA will, upon request of a member or members, make the
Non Public Domain Data of those members who 'opted out' available only to the SARA membership
and as far as is feasible in a read-only form. When making such Non Public Domain Data available
to SARA members, SARA will ensure that members understand their individual responsibility to
maintain the privacy of such data and that members undertake to ensure that such data is
not disseminated to any other party.

Law:

SARA will disclose member information if and as required by law.
SARA maintains security practices to safeguard the privacy of member information.
SARA will maintain the privacy of all data as required by Federal and State Law.
SARA specifically will ensure that it abides by the State of Minnesota Data Breach Law of 2007.

Web Sites:

Any person visiting SARA web sites, and not transacting with SARA online, can browse the SARA
web sites anonymously. Personal information will not be requested at any time unless SARA needs
the information to complete a transaction that is initiated by the visitor.

SARA does study web site utilization patterns including visitor navigation patterns to assist
in improving services. This information is collected in aggregate for all site visitors and is
anonymous as it relates to any personal identification. Such data does include the IP addresses
of the web site visitor or the email sender and is retained and may be used by SARA or made
available to authorities, as allowable by law.

Transactions:

Any person or member who initiates a transaction with SARA for any purpose and who provides
information pertaining to that transaction, understands that SARA would be acquiring and/or
maintaining data related to said person for the purpose of doing business. Such data may take
the form of logon names and passwords for the purpose of the person being able to use SARA
provided email facilities or other facilities such as publishing content to the SARA web sites
or transmitting QSL Certificates.

Email:

SARA takes safeguards to ensure that it transmits only valid mail (postal and electronic)
and ensures that precautions are taken to ensure that emails forged in the name of SARA
or any of its officers or members are not transmitted and takes precautionary measures
to ensure the electronic mail does not contain any harmful content. These precautionary
measures are undertaken by the SARA email provider (Google) and comprise of adherence
to the Sender Policy Framework.

Due to the nature of email systems, SARA cannot guarantee that persons may not receive forged
or malicious emails. In the event that any member receives any suspect email, the member
is urged to contact the SARA Executive.
